Minutes of last committee meeting -- read by Marie Krizanovic and approved by the committee

Cindy Clark submitted 10/31/00 treasurer's report - reviewed and approved by committee

Melinda noted Greeley and Fort Collins scout store closures (Ft Collins 12/8-1/2; Greeley 12/21-1/2)

Thank you's were given to Cindy Clark and Jennifer Ochwat for leather and sports cards donations

Pack 191 was one of the top 5 packs in the district for fall recruitment! We received two scout books for our pack library.

Popcorn sales exceeded expectations! We sold over $17,500, all total this brought an additional $1,574 in net revenue to our pack budget. The pick up schedule was passed around to all leaders. Money is due to Heather Wallace 11/30 (in order to earn additional revenue from LPC) and checks should be made to Pack 191.

Cindy Clark passed around a summary of camp fee awards and boy scout awards, as well as statistics. Some numbers have been revised and revised reports are now available.

Re-chartering will be coming up. Melinda will talk with individual leaders at the November pack meeting to provide forms. Forms and money are due by the December committee meeting. Webelos II are rechartered, but their leaders are not (with the exception of Chuck Panella).

Nominations are due for the Leader Recognition event (2-9-01) -- forms can be obtained on the Thompson-Poudre website, or a formal letter can be drafted as well. These are due at the Dec/Jan roundtable meetings. There is also a Spark Plug award - see Melinda if interested.

Jennifer Ochwat is compiling a Religious notebook that will detail the steps needed to earn various religious knots and awards. It was decided that the pack would require a copy of the religious medal/knot form and/or a letter from the church to verify completion. There are links on the website for additional information if interested.

Football and hockey will be considered sports that can count towards to Webelos sportsman badge. Karate will be considered Martial Arts. There are no belt loops available, and patches will not be designed.

There was some discussion on the logistics of the cubmaster transition between Chuck Panella and Mark Clark. Chuck and Mark will get together and hash out the specifics, and report back to committee with a plan.

Chuck is working with First United Methodist to host our Blue and Gold banquet. Poudre School district will not allow open flames (for the arrows) -- this is an extremely important part of the ceremony. It was decided that we would rather move to another location than to change the ceremony. The might be a $50 rental/custodian fee.

Chuck passed out the November pack meeting agenda. The main event will be the space derby. Only rank awards will be given out this night. All others held until December.

Melinda talked about the Decemeber pack meeting and a service project. The group decided to take on the "making cards for seniors" project. The pack will provide paper -- dens will need to bring markers, crayons, etc. in order to make approximately 300 cards. This is an all family event -- everyone is encouraged to participate.

The group discussed storage as an additional expense to our budget. Miramont is offering a discounted rate of $40/month, and a condominium garage was also offered for $35/month. There was discussion regarding  the cost effectiveness and location of both. The group will think about the positives and negatives and then decide at December committee mtg.

Budget was not touched on, other than a storage unit. This topic will be brought up again at the December committee meeting.

Meeting adjourned at 7:15 p.m. for roundtable

MINUTES OF COMMITTEE MEETING ON OCTOBER 5, 2000

Meeting called to order at 7:05p.m.

Minutes from last meeting read by Rick Wells and approved.

Topics:

bulletNature Area Cleanup (Oct. 1) – Scouts participating earned 1- 1 ½ hrs. towards earning SOAR patch. Each scout pays $3 for the patch and needs to have 3 hrs. per scout to earn each patch. Den leaders need to keep track. These are individual awards, not den awards, so parents can sign off for it.
bulletPow-Wow (Oct. 21) – in Denver. Deadline is Oct. 13 for reduced rate. Anyone going?

Backup to Treasurers Report – Cindy Clark

We seem to be on track. We’ll know better after popcorn sales where we stand. We’ve sold 30 Space Derby kits so far. We ordered 50 so we need to get 20-25 more. It’s difficult to track returns to Council on the Treasurers report since they keep a credit balance on their books. We also need to update qualified purchasers to Council.

Topics (cont.):

bulletAward forms – due Oct. 12. Need to use forms (can make copies) and requires Den Leaders signature. Can drop forms off at Back-to-School night (Oct. 12) in box.
bulletCommittees – Filled several positions:
bulletMarie Krizanovic – Secretary
bulletShannon Benton – Newsletter Coordinator
bulletKaren Moore – Assistant Awards Coordinator
bulletLisa Hardebeck – Blue and Gold Banquet Coordinator
bulletBob Murphy – Webmaster
bulletPopcorn Sales – last day Oct. 20th, orders due in to Heather Wallace by the 23rd. (We lose 1% of funding by not having all monies in by deadline.) The Badger Den is responsible for distribution. We need help picking up the popcorn on the 11th. Mark Clark volunteered. For those parents/scouts who don’t want to sell popcorn we’re asking for $20 (Tigers) and $50 (Cubs/Webelos) contributions from the parents (made out to Pack 191) to make up the difference for day camp in the summer. Tiger Scouts should be able to meet a $100 minimum sales, and Cub/Webelo Scouts should meet a $172 minimum sales figure. Should we offer some type of sales incentive/prize to top sellers? It was recommended that scouts could earn Bonus Camp Bucks graded by sales levels ($100-200=$5; $200-300=$10; $300-400=$15; etc.). This was voted on and passed. It was recommended that if a den averages $100 in sales per scout that the den would get $3 per scout to go towards a party or something. This got a definite NO vote. Recognize individual sales only with Bonus Camp Bucks. Chuck Panella will come up with a "really, really, cool award" to anyone who sells over $1K in popcorn sales. Also, if anyone needs more popcorn order forms, contact Chuck (223-3644) or you can make copies.
bulletOctober Pack Meeting (Oct. 19) – Chuck handed out agenda and sent around a Gift and Talents sign-up sheet. Chuck will e-mail the radio script parts ahead of time. Chuck also informed the committee that the school district allows no open flames on school grounds. This could be a problem for the Order of the Arrow ceremony. He will speak to Don Unger (Poudre School District Superintendent) about this. We have 3 options:
  1. get the Fire Department to monitor ceremony;
  2. have the ceremony someplace else, off school property;
  3. use arrow without flames (big NO)
bulletNovember Pack Meeting - we’ll hold the Space Derby and uniform inspection. Rank awards only will be given out that night.

Meeting adjourned at 8:00p.m.

Announcements :

bulletNext committee meeting will be at Harmony Presbyterian on Nov. 9 at 7:00p.m.
bulletTomorrow (Oct. 6) is the last day to register for the religion class at Harmony Presbyterian. We have a good sign-up so far.
bulletThe Shark troop met with the mayor on Wed., Oct. 4. They have been asked to present the flag at one of the city meetings. Any other dens/troops interested in doing the same should contact the city mayor’s office.

MINUTES OF COMMITTEE MEETING ON AUGUST 9, 2000

bulletWe met at Melinda's house
bulletNew folks were introduced.
bulletMinutes from the previous meeting were not read because nobody brought them.
bulletGeneral announcements were presented
bulletHeather Walace is chair for popcorn - new flavor available: cheedar cheese
bulletGreeley is having a garage sale October 7, 9am-3pm
bulletJennifer Ochwat offered to write an article for the Werner newsletter
bulletThe budget was reveiwed
bulletseveral items were questioned and discussed
bulletit was agreed that the fiscal year would go from June 1 to May 31
bulletWe have been steadily eating into our surplus over the past 3 years. Don't want to have a bunch of cash on-hand (over the budget), as it should be used for the kids, but need something for contingencies. Committee agreed to keep a minimum of $1000.00 on-hand in the account over our annual budget.
bulletFrom this point on, we need to start living within what revenue we can raise.  Popcorn sales are critical.  If we come up short, we will look at contingencies like selling Space Derby and/or Pinewood Derby kits, etc.
bulletDepending on popcorn sales outcome, people should be thinking of a wish list (2nd space derby track, for example) of things we could get with the pack if we have extra money.
bulletIt was discussed and agreed that we really need to get some central storage location.  Chuck will talk to the guy that owns Miramont storage and see if we can get a reduced rate to store all of our stuff.  This cost will need to be added to the budget, if popcorn sales allow.
bulletThe budget submitted by Cindy Clark was approved, to be reviewed when popcorn sales are in, and also on a monthly basis.
bulletIdeas were brought up for other possible fund-raisers, such as selling Pack 191 t-shirts for use as B-uniforms, selling refreshments at Pinewood Derby (that might be tough to be able to do if we have it at the Mall), etc.
bulletDiscussion on adherence to uniform specs by both scouts and leaders. Will increase emphasis this year.  NO baggy jeans or long/baggy shorts!  NO sweat pants or soccer shorts!  NO hats other than Cub Scout or Webelos hats! Blue jeans are OK for wear with blue shirt.  Blue jeans need to be neat and in good repair.  When Webelos scouts move to khaki shirts, they should go ahead and get the Scout pants as well (now is a great time with the sale on shorts going on at the Scout store).  Virtually all the troops in T-P district require full Scout uniforms anyway.  Chuck will emphasize these items at Scout night and at the September pack meeting to the boys and parents.  We will also work on some ways to encourage the boys with the uniforms, such as incidental prizes for best-uniformed den or Scouts at the pack meetings.
bulletCalendar review:
bulletNatural Area Cleanup is Oct. 1 2:00-3:30.
bulletPinewood Derby March 24. Roster review:
bulletMelinda will update and send out to committee.
bulletStill need some positions filled.
bulletRob Pait agreed to seriously consider becoming the Blue & Gold chairman. He will contact Lisa Bunten (last year's chair) to see what he's getting himself into.  (Go for it, Rob!!) Scout Night (formerly Back to School Night)
bulletNeed to get confirmation from Rick Wells that he can lead the games in the gym during Scout Night.  (Rick..can you?)
bulletChuck will do assembly with boys on August 29 at 2:35 in flex room.
bulletBoys should wear their Class-A uniforms to school on August 31 to promote Scout Night.
bulletPack meetings:
bulletWe will use same generic agenda for meetings that we used last year; this seemed to work well.
bulletMelinda will update setup/flag/sparklers/takedown schedule matrix and send out; Rick needs to get this on the web when it is done.
bulletSeptember pack meeting theme is Pockets (collections).  Boys should bring whatever collection they would like to share with the rest of the pack (within space limitations on tables and good judgment).
bulletLeaders will do one sparkler, Cobras will do the other.  Setup is Den 4, Flag opening is Sharks, Flag closing is TBD (Killer Bees?), Takedown is Vipers/Den 5.
bulletChuck will send out a detailed pack meeting plan prior to the September committee meeting on 9/14.
bulletOctober: Our Gifts and Talents, each den to present 3-4 minute skit, song, etc.  Leaders will do the radio skit we did a couple of years ago (that was pretty popular).
bulletNovember:  Space Derby.  Rank awards only, Uniform inspection during derby.
bulletDecember:  What Do You Do At Holiday Time?  Pass out Pinewood Derby kits. More program info will come later.
bulletJanuary:  When I Grow Up.  We will use that as a theme for the boys to do their cakes with their dads for the Cake Bake Auction.  Proceeds will go to FOS commitment.
bulletFebruary:  Passports to Other Lands.  Will use that for theme for centerpieces for Blue & Gold Dinner.  FOS, and Webelos crossover to Boy Scouts.
bulletMarch:  Man's Best Friend (Pets), we will have a vet and/or someone from the Humane Society come in to talk to the boys.
bulletApril:  Save It For Us (Conservation), maybe have someone from DOW come in, or Larimer County Natural Resources.
bulletMay:  Happy Trails.  Graduation.

NOTE: Special thanks to Chuck for taking notes at the meeting after I left!

MINUTES OF COMMITTEE MEETING ON MAY 11 2000

bulletWe met at Harmony Presbyterian Church before the roundtable meeting

bulletWe went over the pack meeting plans for May. Webelos assignments for the ceremony were decided upon.
bulletAll but one webelos den have decided on a date for Webelos camp (August 6-9). There was confusion about how to report the camp discounts on registration forms. If you have questions, ask Melinda.
bulletIt was agreed that someone will print a flyer about the pack campout at Hermit Park for the pack meeting. I believe Chuck agreed to print the flyer.
bulletRick was asked and agreed to do the following for the web site
bulletupdate camp information
bulletpost the leader manual changes when available
bulletcreate a form to allow leaders to enter awards information. Leaders still need to supply a printed form as well.

bulletMelinda has updated and cleaned out the pack library. Older beltloop books requirements are no longer valid but there is still useful information in them. Melinda purchased a copy of the new book for the pack library.
bulletWe officially have the Arapahoe Bend Natural Area as our responsibility. We all agreed NOT to try a pack wide clean-up project in May but definitely will plan it for Fall. Leaders ask your dens if they want to do a clean-up during the Summer.
bulletIt was pointed out that, other than leaders, no parents from Cobras or Flaming Dragons den signed up for any Volunteer positions. Those dens were requested to step up for popcorn distribution jobs.

http://www.LongsPeakBSA.org/camps/cubcamp/

bulletJune Raingutter Regatta - Melinda has boats. We need to get some more gutters, possibly from families, possibly loaned from hardware store. Also need some saw horses.
bulletJuly Campout - Chuck arranged use of Hermit Park campgrounds but warned about conflict with a wedding. Calling all HP employees with scouts in pack 191 to attend this to create a large HP presence at the event. Commitment and payment were requested by June 1 to facilitate coordination efforts.
bulletAugust Swim Party - Current plan will be to use Paragon Point but we are still looking at other possibilities.
bulletLeaders were given the district calendar for August, 2000 to June, 2001. Rick will make this available on the pack web page or at least a link to it from there. Here is the link:

bulletChuck P. requested that whoever has the "Fast Start" video, please return it so he can fulfill the "Quality Pack" requirements.
bulletKaren mentioned that Webelos scouts can go to Klondike for the day as a den. Details were handed out to webelos leaders as a seperate handout.
