MINUTES OF COMMITTEE MEETING ON DECEMBER 13, 2001Attendance: Location: Harmony Presbyterian Church, Fort Collins HANDOUTS: December Committee Agenda Treasurer’s Report (November 2001) Pack Meeting Agenda for December 2001 Committee Positions (as of 12/12/01) Den Assignments (same as before) AWARDS Award requests are due to Jennifer. Leaders should let the boys know that there will be no awards in February due to the Blue & Gold Banquet. Anything not earned by January will wait until March. DECEMBER PACK MEETING Awards and sparklers will be done first in the gym before going caroling in the local neighborhood around Werner. There are many rank awards and 2 religious knots. Suggestions were made for the Traveling Hand Award. Den 3 Parents (for entire den earning Bear by December) and Eric Williams (great work managing den’s popcorn) were both suggested. Mark will continue to take suggestions and then make an executive decision. Jim Johnson and Kelli Schofield should be creating song sheets with 3-4 familiar and easy songs for the boys to sing. We will split up into 3 groups again by rank (Tiger Cubs, Wolf/Bear, and Webelos). In case of inclement weather, we will follow PSD rules. If the weather doesn’t cooperate, we will sing carols to ourselves in the gym. Leaders should remind everyone to dress for the weather. Some may still show up without coats, but we will leave it to the parents to decide what to do. NOVEMBER PACK MEETING It seemed to go well. Julie suggested having a "candy man" looking for good behavior. POPCORN 3 dens didn’t collect all of their money. The total came to more than $200. The pack covers to pay the district on time. However, we need to make sure that the boys collect all their money. The extra popcorn will be sold at the December Pack Meeting first come first served. If anyone would like to see Trails End to make a cheese popcorn tin, you’re encouraged to write to them directly. BLUE AND GOLD BANQUET RSVP’s and money are due to Julie Heikes by the January 31 Pack Meeting. No late replies will be accepted since the food needs to be ordered. Families will not be able to just show up at Blue & Gold without a reservation. Julie is working on a circular table layout so that everyone can see. Tables will be assigned for each den so no one has to come early to stake out a table. There will be a centerpiece contest again based on the month’s theme (Our Native People). Size restrictions will be 18" wide by 24" long. The height should be such that the entertainment will be visible over the centerpiece. Only one centerpiece will be allowed per den. Judges have not been determined yet. We will provide meals for the judges and pay them a fee. The Webelos 2 Scouts have made their arrows and will receive the arrow of light award. The actual shooting of the arrow will be at another ceremony (either at Scout Camp or Boyd Lake). Julie needs to know what Troop the boys are going to, as well as which Scouts earned all 20 activity badges for their patch and plaque. There will also be a farewell to leaders leaving the pack. Friends of Scouting (FOS) will not part of Blue & Gold since we will cover it in January. JANUARY PACK MEETING We will again have a cake bake auction with the theme "Did you get my message?" Tables will be set up around the room for viewing. Cakes should have a card with the Scout’s name, den number, and an explanation of the cake they made. Scouts should bake and decorate cakes with parent’s help as needed. The parents should not make the cake for them. The judges will be Boy Scouts who will look for creativity and the Scout’s handiwork. All cakes will be in the silent auction with no limit on top bid. The top cake in judging earns $10 in Scout Bucks. The top three will get certificates. The top three cakes in judging will be sold in live auction. All money raised will go toward the Friends of Scouting (FOS) campaign. Julie Heikes is the coordinator and will make a presentation for FOS. She suggested that we prepare our parents now. Money spent on cake bids will count toward your FOS pledge. January’s meeting will also include uniform inspection. We will rotate the Scouts out into the hall with their den during the cake viewing. Pinewood derby car will also be distributed. The pack provides for these in the budget to encourage all Scouts to participate. However, any kits that will not be used should be returned to the pack. TREASURER’S REPORT The report is current through November, but there have been some more recent changes. Cindy needs input for which events the Pack would like to provide patches. Also, if there are any needy scouts eligible for scholarships for camp. Den leaders need to identify these Scouts and let Cindy know. Our ending balance is about $3000 (which is above our buffer). We have the funds to buy supplies or upgrade equipment (such as the pinewood derby track?). Let Cindy, Mark or Fran know if you have any ideas. MISCELLANEOUS Julie Heikes would like for the pack to do something for Melinda Vaughn, last year’s Committee Chair. She has done a lot for our Pack and didn’t get to say goodbye. Her son, Alan, is also graduating to Boy Scouts in North Carolina. The following positions are needed to be filled: Asst. Cubmaster (by Feb 2003), Pinewood Coordinator (by Feb 2002), and Summer Activities Coordinator (by early 2002). We also need more derby assistants (Scott Ochwat? And?) Leaders should ask their parents to volunteer to fill these positions. There will be other positions rolling over in a year or two. The dates for summer camp are posted on the Longs Peak council web site. The next committee meeting is January 10. Scouts earn a 20% discount at the Coleman outlet store in Loveland. Happy Holidays!

POPCORN: Popcorn pickup is November 10 at the Helt home in Oakridge. Den representatives need to sign up for 15-minute time slots. Please show up on time so we don’t get backed up. We still need volunteers to distribute the popcorn to den representatives from Helt’s trailer. Jennifer, Fran, & Judi volunteered and will work from 11am till 1:45 Cindy Clark presented the pack budget and popcorn numbers. Our expenses for the year without popcorn are $4486. Our pack sold $20,343 worth of popcorn, so our 29% return is $5900. We were the top pack in the district again this year. However, we were short of our goal by about $600 so we missed out on the 1% bonus of $203. It was decided not to have the Pack buy popcorn to meet our goal since the expense would have been about 3 times the return. The Pack’s sales will cover our operating expenses including Camp Bucks with some extra margin. For every $500 sold by an individual Scout, his name is put into a drawing for a savings bond from District. Attached to the Pack budget is a popcorn breakdown by den and scout. The top 3 boys in our Pack will receive a small prize from Mark. The top seller in our Pack again was Landon with $1579. Brian was 2nd with $1040 and Derek was 3rd with $825. Scouts who sold popcorn will receive Camp Bucks again. For every $100 in popcorn sold, the Scout receives $5 in Camp Bucks toward Day or Overnight Camp. If everyone uses his camp bucks, it would cost $1195. Webelos II Scouts have a dollar amount to show the money that will go with them to their Troop account (after meeting the break-even point). RE-CHARTERING: It’s re-chartering time again. This does not apply to the new Scouts that just enrolled this last fall since they paid for 1-½ years to the end of 2002. All others Scouts membership will expire at the end of December and need to be renewed for the 2002 calendar year. National dues are $7 for year with and additional $9 per year for Boys Life magazine. Den leaders need to return re-chartering payments for their den to Cindy by November 30. For Webelos II who will not continue on into Boy Scouts, they can pay the full amount and we’ll figure the difference at a later date. They won’t need to decide now if they are not continuing, nor will they delay the Pack’s re-chartering while deciding. GENERAL PACK MEETING DISCUSSION: The committee reviewed the changes made at the October pack meeting. Although some of the changes were confusing because they were new, it was decided that bringing up all the Scouts by grade was too crowded. However, having den leaders hand out the awards worked well since they know their boys by sight. Mark will again summarize any activities done as a group, but he will also mention the same award when listing each Scout’s name. This way he won’t have to sort out who did what with the den and who didn’t. It was also mentioned that many other packs don’t pass out belt loops at pack meetings and it goes smoother. However, for Tiger Cubs, Wolves, and Bears, they would only receive one rank badge all year. At this time, we will continue to award belt loops at pack meetings. NOVEMBER PACK MEETING: The theme for November’s pack meeting is Hometown Heroes. The agenda was reviewed. During announcements the top 3 popcorn sellers will be recognized. The ROAR postcard recipients will then be given cards for free Quizno’s meals. The sparkler by the Sharks may be skipped if they are not ready. The second sparkler by the Tiger Cubs will be between the non-rank and rank awards. Rank awards will be presented in a ceremony related to the theme. Four Boy Scouts will be returning to Pack 191 for the Akela award. The main event of the meeting will be our local hometown heroes. We will have 3 stations where the Scouts will spend 10-15 minutes before rotating to the next station. Our guests will be a firefighter, a state patrolman, and Mr. Chenoweth with a couple teachers. Mark’s cubmaster minute will be a challenge to the boys to think about something they are thankful for. SEPTEMBER 11TH FUND: President Bush has put out a call to Scouts to earn a $1 to give to the September 11th fund. The committee decided to donate $100 from the popcorn proceeds toward the fund. This will cover the 82 Scouts in the Pack with some extra for leaders. Mark will cover this in an age-appropriate way during announcements. Den leaders can then discuss in more detail with their dens as they see fit. SPACE DERBY: The Space Derby will not be held in November this year. Instead, it will be a summer event with a BBQ in July or August. We will either have a joint space derby / raingutter regatta event or alternate the 2 events each summer. OFFICER OPPORTUNITIES: We need an assistant treasurer and assistant cubmaster who will be ready to take over as treasurer and cubmaster in February 2003 when Mark and Cindy move on to Boy Scouts with their son. (The current assistant cubmaster will also be done when his older son moves on the Boy Scouts, since his younger son will not be joining.) HELPING HAND AWARD: The Helping Hand Award will travel to a new recipient at the pack meeting. Heather Wallace has done a marvelous job as popcorn coordinator and will receive the award from Judi (last month’s recipient). Den leaders should also think about someone worthy for next month. DECEMBER PACK MEETING: The December pack meeting will be on the 20th. Julie Heikes and Susan Giglio will do the uniform inspection. Last year the pack made 200 Christmas cards. It was also suggested that we make Christmas paper necklace chains or garlands. The final decision was to go caroling in the neighborhood around Werner. We will have only a few non-denominational songs that the boys can remember. We will distribute copies to the dens ahead of time for practice. Boys should dress warmly and bring flashlights. We will split up and assign streets. If it’s very cold or windy, we will have an alternate plan. Details as well as a backup plan will be finalized at the December committee meeting. AWARDS: Requests are due to Jennifer by Monday, November 12. BLUE & GOLD BANQUET: The banquet is set for Friday, February 15th at First Presbyterian Church (on College near Mulberry) from about 6-9pm. Fazzoli’s will be catering. Dancers from a Venturing crew will perform a ceremonial dance. Cost will be $5 for adults and $2.50 for kids. Invitations with RSVP information will be distributed to den leaders. Julie will decide the RSVP date in time to get supplies and notify the caterer. We have the room reserved from 3-10pm to setup before and cleanup afterward.

Location: Home of Fran Blackburn, Committee Chairperson HANDOUTS: Committee Meeting Agenda & Calendar Committee Positions (as of 8/17/01) Pack Meeting Agenda for October Fran Blackburn & Mark Clark chaired the meeting. NEW SCOUTS: We have added a new Bear and a new Wolf Scout recently. The Bear dens now have 7, 7, and 6 Scouts. The Wolf dens have combined into one den of 11 Scouts with 3 leaders. COMMITTEE POSITIONS: Chris Helt has agreed to let us use his trailer for popcorn pickup and distribution. (We feel that a thank-you gift for him is in order. Some suggestions were a gift certificate at a restaurant or the mall.) Greg Tropsa volunteered to be quartermaster. We still need a Blue & Gold Assistant from the Webelos I parents. Mark Clark will discuss this with Kerry Thompson and will hopefully get a parent to volunteer. There are also openings for Summer Activities Coordinator and Pinewood Derby crew, but these can be recruited later. We also need another T-shirt Coordinator to work with Rob Pait since he travels frequently. BLUE & GOLD BANQUET: Julie Heikes reported on Blue & Gold status. They are considering Preston Junior High but are still evaluating dates and other locations with a good viewing layout for tables. To avoid a late school night, Friday and Sunday are both being considered. There was concern about our LDS Scouts not being able to attend an event on Sunday. There was also concern about having the banquet in a school and the Order of the Arrow ceremony (i.e. no weapons on school property). Julie will check into it. We will have Friends of Scouting (FOS) and the Crossover Ceremony at Blue & Gold. The District may have an Order of the Arrow ceremony at the Scout Ranch or in town later in the Spring. PACK 191 T-SHIRTS: We need to buy more Pack 191 T-shirts (Class B uniform). Last year we bought 100 shirts for about $560. After giving den leaders shirts and selling 42 more, we currently have 13 kid Large, 13 kid Medium, and 5 adult Large. Rob is getting information on the prices for other styles as well (such as long-sleeved T-shirts). POPCORN: Popcorn sales seem to be going slower this year for both door-to-door and at grocery store tables. Popcorn Pickup and Pack Distribution date is November 10. Times for den pickup have not been determined yet but there will probably be a sign-up. Once dens pick up their popcorn, they could distribute to the Scouts that day. They don’t need to wait until November 11 as noted on one of the previous handouts. AWARDS Jennifer Ochwat reviewed the process for requesting awards. Award requests for the upcoming Pack Meeting are due at the Committee Meeting. If there is an exception (such as this month when the Committee Meeting was moved up a week), then requests can be put in the Pack 191 box on Jennifer’s doorstep by the specified due date. This month’s requests are due by October 9 (Refer to the den leader list for her address). You must turn in the hard copy form with the den leader’s signature. Email requests will not be accepted. Examples of these forms include the forms for rank (Tiger Cub, Wolf, Bear, Webelos, Arrowpoints, Compass Points, Activity Badges, Arrow of Light, Service Stars) as well as Academic and Athletic belt loops and pins. When requesting awards that do not have a place on either form, either cross out an unused award column or make another column. Write in the award you are requesting (such as SOAR, Summertime Pin, Archery, BB Guns, etc.). When requesting loops and pins, write a "B" for belt loop or "P" for pin in the appropriate box. For Arrowpoints, write a "W" if earned as a Wolf or "B" if earned as a Bear. It’s recommended that you use a copy of these request forms as a record of whom in your den has earned which belt loops and pins. (The Individual Cub Scout Record does not have a place for belt loops and pins.) This makes it easier to determine if a Scout has already earned a particular belt loop. It’s also nice to see at a glance when planning a den activity to earn a belt loop. Scouts normally earn a particular belt loop only once even though they may repeat the activity (at day camp, for instance). The exception is that Webelos are required to earn particular belt loops as Webelos for particular Activity Badges. If they had previously earned that belt loop as a younger Scout, they still need to repeat the requirements but they usually return the duplicate hardware. At Pack Meetings, Jennifer will give each den leader a manila envelope with photocopies of your request forms in it as well as other awards not granted at Pack Meetings. Keep these photocopies for your records. If convenient, the manila envelope can be returned to Jennifer to be reused next month. If any awards are out of stock at the Scout Store, they will still be announced at the Pack Meeting. However, the Scout will receive a card specifying the award with a note attached about the back order (or other kid-friendly language). Den Leaders will receive the awards at a later date and can give them to the Scout. Jennifer Ochwat now has the "191" single patch. They cost $1.50. LEADER TRAINING: Julie Heikes reported on Leader Training Classes. The one in Loveland is Oct. 13 and the one here in town at McGraw Elementary Media Center is Oct. 25(?). Call Julie Heikes or Kelly Wittmeier at District for more details. Questions were raised about repeating Youth Protection courses (every 3 years?) and Outdoor Training for Webelos leaders (highly recommended). SEPTEMBER PACK MEETING FEEDBACK: Mark wanted feedback on the changes to the September Pack Meetings. He acknowledged that Summertime Pins were handed out but not announced. National Den Awards were not awarded but will be given at the October meeting. At the next meeting, we will have non-rank awards before the more formal rank award presentations. For the non-rank awards, we will continue to have the den leaders hand out the awards to their Scouts while Mark reads the awards. We will eliminate the hand shaking for non-rank awards but keep it for rank awards. To save more time during non-rank, we will also have all Scouts of the same rank stand up together but standing together as a den. This would be 23 Tiger Cubs, 11 Wolf, 20 Bear, 16 Webelos I and 12 Webelos II. They will still receive their awards as a den but will remain standing until all Scouts of that rank are completed. If any den has a special announcement or comment about something that they have done, they may either submit it in writing to Jennifer with their award request or to Mark. They also have the option to have one Scout from their den make a brief report during the non-rank awards. Den leaders should make sure that Scout is prepared to speak before a large group and let Mark or Jennifer know that he will be doing so. When one Scout rank is done, they all sit down together and the next group of dens comes up. It was also suggested that the awards session could be broken up with short cheers or run-ons as long as they aren’t too long. Mark also explained that Opening and Closing ceremonies can be anything we want them to be. Since Pack 191 usually do Flag Ceremonies, if anything else is substituted, we will emphasize it in the review of the Pack Meeting Agenda. Mark also commented that the Cubmaster Minute in September was not typical (due to recent world events) and will normally be very brief (30 seconds or so). BILL CHENOWETH AND WERNER: Fran Blackburn reported on her meeting with Mr. C. He is very receptive to anything the Pack wants to do in the school. Fran wants to see more recognition for Scouts within the school. Some examples: a collage mural created by the dens and assembled on a wall in school; recognition of pack activities on morning announcements by Scouts in class-A uniforms; trophies, plaques & derby cars in the Werner display case. We would also like to see more incentives for wearing the Scout uniform to school (especially for Back-to-School Night, Recruiting, and Pack Meetings). We can also tie the new ROAR code activities in with Scout activities or maybe the Cubmaster Minute. NATURE AREA CLEAN-UP: The date is now October 20 at 3pm (changed from 1pm). Karen Moore is the Nature Area Coordinator but was not in attendance. Gloves and bags will be provided at the cleanup site. Anyone needing to complete a Liability Waiver from the City of Ft. Collins can fill it out when they arrive. Getting the forms to den leaders ahead of time would be helpful. (Print the Scout’s name somewhere on the waiver. One waiver will cover both the pack and den clean-up months if you put the ‘01/’02 School Year in the blank for date.) Scouts can wear a Class-B uniform such as their Pack 191 T-shirt or a Scout camp T-shirt. They should also wear long pants. The city of Ft. Collins is having their annual recognition event for all of last year’s volunteers this Saturday, October 6 from 11am – 1pm at Lee Martinez Park (at the picnic area by the playground). They will start with a Bird Walk with a Naturalist, have snacks, and present the awards at about 12:30pm. Pack 191 will be receiving an award again for all the time we spent cleaning our adopted Nature Area last year. All Scouts and their families are welcome to attend. OCTOBER PACK MEETING AGENDA: The theme is "Down on the Farm". The Main Activity will be 3 stations where Scouts can spend about 10 minutes at each. Mark will prepare a station of guessing games (weight of pumpkin, candies in a jar, what’s in the bag). The pumpkin will be the grand prize, but we’ll have candy jars for winners in each rank. Scott and Judi will organize the Barnyard game (where Scouts must group themselves by barnyard animal by making only animal noises). Julie will prepare a craft (possibly a pipe cleaner spider?). We need a volunteer to lead a song while the Cobras are setting up for their Sparkler. (Song Coordinator Kelly Schofield will not be able to attend.) Den 5 on the agenda is actually den 4b (i.e. half of Wolf den 4). Den 4 is den 4a (i.e. the other half). NOVEMBER PACK MEETING AGENDA: Mark is contacting some local heroes and is taking suggestions for others (motorcycle police officers, firefighters, trauma surgeons, Mr. C & teachers). Scouts will be able to walk to different stations and visit the heroes during the Main Activity of the meeting.
ADDENDUM TO MEETING MINUTES: The Treasurer’s Report was not presented but will be emailed to den leaders. Copies of the Liability Waiver were made and distributed to leaders still there after the meeting.

Each scout should receive an order form, prize form, and collection envelope. Individual order sheets are optional but handy for mailing to family. Only the unit manager record is returned to Heather. Selling period is 9/22 to 10/20. Completed order forms are due to Heather by 10/22. Popcorn pickup is 11/10 and money is due to Heather by 11/30. Popcorn sales are our only fundraiser to finance our budget. 70% overall goes to scouting, and the pack earns 29% of what we sell. Deadlines must be met to earn an additional 1%. If scouts don’t want to sell popcorn, they can donate $50 to the pack instead. Show & Sell options will be left to individual dens. The pack will order 10 of each product available for Show & Sell. Den leaders should call the grocery stores and then let Heather know what you need. MINUTES: We will no longer be reading the minutes. They were summarized instead. A new den leader book will be coming out this Fall with the new Tiger Cub program guidelines. Leader Training Class is at McGraw Elementary Media Center on 9/20 from 5:30-9:30. Call 225-9129 to sign up. Rob Pait & Julie Heikes are chairing the Blue & Gold Committee but they still need a Webelos I to assist. Award Request forms are due to Jennifer Ochwat at committee meetings for the current month’s pack meeting. Email requests cannot be accepted. September Pack Meeting Agenda was handed out. While the scouts are playing a train relay game, the adults will hear about the rules of the meeting, meeting format, open committee positions, and popcorn sales. A template for the October Pack Meeting was also handed out. The Treasurer’s Report (6/1/01 through 8/31/01) was handed out. If we exceed our popcorn goal, we can add items from our wish list. The Pack library was available at this committee meeting. It is normally kept in the pack’s storage locker. The Pack Nature Clean-up is October 20 at 1pm. Trash bags and gloves will be provided. MINUTES OF COMMITTEE MEETING ON AUGUST 22, 2001Attending: Mark Clark, Scott Johnson, Kerry Thompson, Kelly Trupkiewicz, Barb Murphy, Jennifer Ochwat, Cindy Clark, Fran Blackburn, Rob Pait, Susan Giglio, and Judi Urlocker. Location: Home of Mark & Cindy Clark Mark Clark chaired the meeting. Fran Blackburn has recently accepted the Committee Chair position but has not yet started. DEN ROSTERS & DEN LEADER HANDOUTS Updated for 8/8/01: Notify Cindy Clark of any changes. Tiger Cub dens are not yet formed. There is also no Bear den 3 leader. COMMITTEE POSITIONS HANDOUT Updated for 8/17/01: Blue & Gold needs an assistant from Webelos I. Judi Urlocker will check if Chris Helt will help with popcorn distribution again. It was decided to keep the Telephone Committee for phone trees since email is still not timely for many on the committee. WEBSITE: Scott Johnson will update the website. Judi Urlocker will send minutes from the meeting to Scott. STORAGE LOCKER: Mark Clark is the temporary quartermaster and has the key if anyone needs anything. PACK MEETINGS: September’s meeting will be informational for parents. This will possibly be a separate meeting for parents only. Pack meetings in general were discussed regarding length and interest level. Awards can sometimes drag on, so the committee discussed ways to improve that. Rank Awards will still be given out with the same formality but will follow the month’s theme. Other ideas included putting all awards in the newsletter or in an addendum to the newsletter or on a dry erase board to be posted at pack meeting. The idea of only giving important awards at pack meeting and saving lesser awards for den meetings was discussed again. Although it would shorten the meeting, it would be difficult to determine what is important or unimportant to individual scouts. Another possibility was to have each den come up and give a 30 sec – 1 minute report. This could be done by a Webelo or denner or a leader if the scouts are young. Another idea to improve efficiency was to have each den come up as a group. Mark would read the names while the den leader hands out the awards (since the leader knows & can find the scouts quickly). Mark would then walk down the row & shake hands with each scout. This idea seemed to be a good compromise. Another idea to liven the awards portion, was to note any special comments (such as dens xy&z worked together on this belt loop.) Leaders would need to submit these comments with turning in their awards requests at the committee meetings. (This might also save some time if Mark read the general comment and would not necessarily need to read each name for the same award.) Other ideas to make pack meeting more interesting were Brag Tables and more Run-ons. Pack Meeting behavior was also discussed. There was a lot of concern for unsupervised siblings in the flex room. It was both a distraction and safety issue. Den leaders and family need to keep all their kids under control. The behavior of the scouts before the pack meeting was also a concern. The scouts tend to think of the gym as their PE place. We could possibly have a Gathering Activity with a coordinator outside of the gym. The scouts could work on an ongoing service project. Scouts could then enter the gym in formation at the start of the meeting. Announcements at the pack meetings should be written in the newsletters. Leaders should take extra copies for absent parents. Seating for scouts could be improved by putting tape on the floor. Tiger Cubs could be moved toward the middle so they can see better and remain interested. Webelos I & II could be at the edges. The Cub Scout sign will still be used to get their attention. Denners could watch for the sign and help their den. Any song or music leaders? Would dens want to take turns? PACK MEETING CALENDAR: September = All Aboard! (train theme, new rules for pack meetings, induction of new scouts, summer awards, day camp kids sparkler). October = Down on the Farm (Mrs. Drager has some farm animals?) November = Hometown Heroes (firefighters and other could mingle around the room? Uniform inspection again?) December = Works of Art (Christmas cards again? CSU art students? Divide a picture into grid squares and have scouts draw an enlarged version of their square before putting them all back together.) January = Did You Get My Message? (cake bake with both scout & parent categories. Have Boy Scouts be the judges. They could tell about BSA before Blue & Gold.) February = Our Native Peoples (Blue & Gold Banquet, Bridging Ceremony, Order of the Arrow. Where will we have the banquet? Preston? Boltz? 1st United Presb? Allowing arrows is an issue again – especially if they’re flaming. Do we split AofL and B&G? Do we have the AofL ceremony at Ben Delatour? Do we have AofL later in the Spring? The B&G committee will continue to discuss this. There will be a centerpiece contest again, however guidelines are needed regarding size and quantity per den.) March = Abracadabra! (theme was moved up from May) April = Forces of Nature (UNC weather professor? Mike Nelson from channel 9? tornado chasers? luminaria @ night?)
OTHER ANNOUNCEMENTS: The NEW TIGER CUB PROGRAM will cause a 3-4 year transition affecting current scouts. By the time current Tiger Cubs become Webelos, we will be completely phased into the oval Webelos patch and the diamond shape patch will be phased out. PACK MEETING ROTATIONS will be set after Back to School Night when new dens have been formed. POPCORN sales start September 22. More info at the next Committee Meeting. Awards for the September Pack Meeting need to be requested by the September 13 Committee Meeting (which is at 6:15 right before Roundtable at 7:30).
MINUTES OF COMMITTEE MEETING ON JULY 9, 2001Attending: Mark Clark, Cindy Clark, Judi Urlocker, Rob Pait, Julie Heikes Location: Harmony Presbyterian Church Meeting was scheduled for 6:15pm. It started late due to late arrivals. Planning Meeting for Back to School Night = August 30 @ 6:15pm Back to School Night = September 6 COMMITTEE POSITIONS: It was announced that Fran Blackburn has accepted the position of Committee Chair. Those present volunteered for a few more committee positions. The remainder will be filled at future committee meetings and the first pack meeting. TREASURER’S REPORT: Cindy Clark presented the Treasurer’s Report for Last Year 2000-2001 and the budget for the current year with actuals for June & July. The balance at the start of June was $2853.13. ANNOUNCEMENTS: Pack T-shirts: It was proposed that we promote them at Back to School Night. Issues were raised regarding ordering more and if we wanted long-sleeved T-shirts. The Pack Pool Party is next Friday at Paragon Point Pool. The time is TBD. The following activities are scheduled at Ben Delatour Scout Ranch (Fall Color Hike, Jamboree on the Air, Cub Scout Haunted Weekend). Contact Greeley for more information and to register. The Webelos leaders discussed possible activities to earn activity badges. They will take their ideas off-line for now. In general, the pack encourages joint den activities at all levels. NEW FORMAT FOR PACK MEETING: There was a discussion regarding possible ways to shorten and liven up the pack meeting. One possibility was to present only some of the awards during the pack meeting and leave minor awards to be given out by den leaders at the den meetings. Pack meetings awards might be rank awards, religious knots, World Conservation, SOAR, Compass and other unique awards as they come along. Belt loops and pins would be given out at den meetings. Another possibility was to have the den come up as a group and have the den leader present the highlights of that den’s work. No decisions were made. It will be discussed again with a larger group. ROTATION: Mark will work on the rotation once the new dens are created after Back to School Night. SEPTEMBER PACK MEETING: The theme is "All Aboard!" We may use a train whistle. Roundtable Notes 8-9-01 Rank & Uniform Changes: When Webelos buy the khaki shirt, they now sew on an oval Webelos patch (similar to Boy Scout merit badges). You no longer need to transfer the diamond Bobcat, Wolf, Bear, & Webelos patches to the khaki shirt. Tiger Cubs is now a rank with a patch and handbook. * Youth Jamboree Night at REI - Not sure about the time for this event, and you might have to call to pre-register. See agenda for details.
* Storage - If anyone has additional scout storage items, please contact Melinda.
* Scouting for Food - The agenda listed 700 lbs total collected; however, this amount is inaccurate. A revised number is forthcoming. If den leaders still have the form from the Food Distribution Center, get it to Melinda ASAP. Boys will earn a patch for their participation.
* Day Camp - Judy will present information at April Pack meeting.
* Summer Activities -
* T-shirts - otherwise known as Class B uniforms are now available. Cost is $7.00 and they will be available at pack meetings and other scout functions. Approximately $100 in proceeds will be donated to a good cause that is yet to be determined. Leaders (17 in total, excluding the Webelos II ones) can have one shirt at no cost. There are three additional posts (treasurer, secretary and newsletter editor) that may also have a shirt at no cost. 100 shirts were purchased, this leaves 80 to sell at $7 each for a total revenue of $560 (which is breakeven, not sure about the $100 "proceeds" unless we sell at least 100 shirts).
* Committee Positions - Melinda will recruit for committee positions at the April Pack meeting. Scott Johnson has volunteered to be Webmaster. Greg Tropsa will be contacted for Assistant Cubmaster and Pinewood Derby Coordinator. Rob Pait volunteered for Blue & Gold Banquet. Three position are remaining: Committee Chairperson, Songmaster, and Secretary.
* April and May Pack Agendas - Mark passed around agendas, and a few changes were noted. Mark will call each den leader to make sure they are aware of the changes before the pack meeting. One change - Tigers will do the May closing.
* May Graduation - We will use the same ceremony as past years. Mark, Melinda, Julie, Scott and Rob will conduct the ceremony, and they will have a practice meeting prior. As usual, the pack will provide scarves to each boy.
* Spring Tiger Cub Roundup - Mark and Melinda will visit with Werner kindergartner's in the next month or so for spring recruiting. If they sign up/register, they can attend a one day summer camp on June 23rd.
* Newsletter - It was suggested that the pack correspond (newsletter, postcard, website) with each boy/family to remind them of summer activities and the fall Back to School night. Shannon will take the lead on this item.
* Next Year - It was decided that the committee will meet in July for it's annual planning and budgeting session due to the fact that we'd like to have an August pack meeting (something outdoors and social to start the new year.)
* National Den Award - It's time for den leaders to complete the National Den Award form (for those that have met the criteria). These can be given to Jennifer on May 10th so that LPC and have the award ready by fall.
* SOAR - Check out www.voc.org for additional volunteering ideas.

Meeting called to order at 6:20 by Melinda Vaughn.
Minutes from February meeting were read and approved.
Treasurers Report - Cindy Clark reported the only new items on the report appear on page 2. They are expenses for Blue and Gold banquet and Popcorn Initiatives/Camp awards. Income for the banquet was lumped in to expenses ($815 revenue).

* Melinda provided an agenda for the meeting.
* Scouting for Food - Saturday, March 17th. Neighborhood assignments are on the agenda sheet. Dens should remove flyers from mailboxes when they are finished with their neighborhood.
* Friends of Scouting - Pledge forms/monies are due tonight (3/15).
* Scout Show - Saturday, April 7th. Do we want to participate? It was decided that scouts would just be encouraged to visit and the Pack would participate next year. We should maybe recommend to have the Scout Show either earlier in the spring or in the fall sometime. By April, the Webelos II have already crossed over and were short on "scout-power" to man stations.
* Judi Urlocker announced that on March 31st, they would be planting trees at Carter Lake if anyone is interested.
* Summer Camp - Have registrations in by April 1st. After that they open the camps up to other councils. Make checks out to Pack 191 and Cindy will make out one check for all those attending. Check with Cindy about popcorn money discounts if you have any questions.
* Webelos Outdoor Leader Training - Saturday, May 5th (all day).
* Pinewood Derby - Weigh-in on Saturday, March 24th is from 2-4PM. The race is on Sunday, March 25th from 1:00-4:00PM or so. We have new scales this year. Also, more help is needed. Scouts race in the following order: Tigers, Wolf, Bear, Webelos and Other (siblings, parents, etc.). Cars registered and weighed in on Saturday will be raced on Sunday even though the scout may not be there on Sunday for the race. Let the weigh-in people know if a car is for Show Competition ONLY! Cars run in about 6 heats (once in each lane) and an average heat time is determined for the fastest-timed cars moving on to the final heats. Medals, ribbons and trophies will be given out for various finishings. Susan Giglio has a "survivors guide" notebook on the derby process which will be passed on to future coordinators. Photos of each scout and his car will be taken before weigh-in. Instead of patches this year, well do activity cards. Chuck Panella still has the borrowed Cub Scout banner from Blue and Gold that we can use for the derby. We need to get our own for future use. Susan or Melinda will check in to this?
* A big thank you to Mark Clark for donating a laptop computer to the Pack.
* Summer Activities - Joey Leone and Laura Dekdebrun are coordinating this year. In addition to items listed on the agenda, other suggestions were a pack campout in June or July and an outdoor movie night. A Summer Activities pin could be earned.
* Pack T-shirts - will have at the April pack meeting. Cost will probably be $8.
* Daycamp - FYI Judy mentioned we have 23 scouts signed up this year as opposed to 30 last year. There will also be 5 adults as walk-around help and a couple doing station help.
* Pack Meeting Agendas - Mark Clark passed out revised agendas. He confirmed that a person from Greyhound Rescue will be the program for the March pack meeting. He also switched Tigers to doing setup. After much discussion, it was decided to change Aprils theme to "Happy Trails" instead of "Save It For Us". Mark will see about getting someone to talk about hiking/trail safety. Cindy suggested getting trail maps to pass out and Judy suggested getting whistles from the Friends of Jared Atadero to also pass out. Scott Johnson recommended Sunshine Consultants as a possible program. Check into this possibly for a meeting next year?
* Julie Heikes suggested getting patches for Scouting For Food. Approved.
* Newsletter - Shannon Benton will be taking over the newsletter duties from Rick Wells. She needs information for the newsletter. Scott volunteered to help with the Scout website.

Treasurers Report - Cindy Clark reported that $588 was raised on the Father/Son Cake
Bake auction. Webelos II leaders need to let Cindy know what troops to cut checks to for the Webelos II who are crossing over. Melinda would also like a record of which troops the Webelos II are going into.
Topics:
* Melinda provided an agenda for the meeting with a reminder for Webelos II leaders to turn in award forms to Jennifer by Feb. 16th.
* Great Backyard Bird Count 2001 will be held Feb. 16-19. Keep track of birds in your neighborhood/yard for the weekend. Time spent will count towards your 2001 SOAR patch.
* SOAR patch this year features the Pallid Bat. Each featured animal is an endangered species and money raised goes toward the protection and preservation of that particular animal.
* Scouting for Food will be on Mar. 17th. More information and assignments will be given out at the March committee meeting. Keep track of volunteer hours. Rob Pait recommended putting up flyers on mailboxes in the neighborhoods.
* Pinewood Derby will be on Mar. 24 or 25th. Susan Giglio recommended that we have weigh-in and track setup on Sat. afternoon and come back on Sunday afternoon for the races or to find another location if we want to do it on Saturday. The school charges $17/hr. on weekends while the mall is free. Melinda reminded everyone that the scouts can build derby cars just for show. Let Melinda know if a scout does not want to race his car. Melinda also needs more volunteers. An assistant coordinator is also needed. It was recommended to maybe get a Wolf parent to volunteer for this. Melinda will check with Jodi Leone about taking pictures at the Derby.
* Klondike has changed from Feb. 16 to Feb. 18th.
* Scout Show and District Pinewood Derby Race will be April 7th at the Mall.
* Spring Camporee has also been changed from May 4 to May 6.
* Blue & Gold Banquet begins at 6:00p.m. on Feb. 22 at First United Methodist Church. Chuck Panella is asking for parent volunteers to help with setup around 3:00p.m.. Chuck passed out the agenda for the banquet and also confirmed the CSU ROTC would be doing the flag ceremony. The Webelos II may retreat the colors. Let Jennifer Ochwat know the number of scouts for the "Big 20".
* Chuck announced that any Webelos II leaders thinking of becoming Assistant Scountmasters, there is only one training session being offered. The dates are from April 20th (around 6:00p.m.) to the 22nd (to about noon). Register by April 1st if interested. Contact John Fookes.
* Discussion on the Arrow of Light which dictates that Webelos II not continuing on with Boy Scouts need to meet with a Scoutmaster, it was decided to accept meeting with a Den Leader instead. Mary Donaldson said we should still encourage them to set down their reasons for not continuing. Maybe have a group of boys to meet with a Scoutmaster or just get feedback from the Den Leaders?
* Mark Clark passed out agendas for the March, April & May pack meetings. The theme for the March meeting is "Mans Best Friend". Suggestions for guest speakers were someone from Greyhound Rescue or the Humane Society. Mark would also like a copy of announcements for the packets. April theme is "Save It For Us". Melinda recommended Greg Tropsa as a possible guest speaker. May is graduation. We may want to switch April and May setup & cleanup. It may be late for the Tiger Cubs to do cleanup.
* Julie Heikes passed out coupons for Scout Day with CSU which is Feb. 24th, a 1:00p.m. mens basketball game. Scouts should wear their uniform. The yellow coupon is a 2 for 1 adult coupon, the green coupon is for the scouts. Den leaders and scouts are free.
* There will be daycamp announcements at the March meeting, also summer activities will be announced. Will the T-shirts be ready for the March meeting? Melinda displayed the design for the shirts. Rob Pait indicated that his den was thinking of having a separate den t-shirt with their mascot (the fox). No one objected.
* Kelly Schofield voiced an objection to the Pinewood Derby being held on a Sunday for religious considerations. Is it possible to use Kruses track on Saturday instead? Susan will check. If so, we could then start weigh-in at 12:00p.m. and begin the races around 2:00 or 2:30p.m.. It was reminded that we did have it on a Sunday two years ago so we wouldnt be setting a precedent this time. It was decided we would do it on Sunday if we cant have use of Kruses track on Saturday.
Lisa Hardebeck arrived to collect the money for the Blue & Gold Banquet.
